The Administrative Assistant is a supportive role offering administrative support across the organization. This position works closely with all departments to ensure efficiency of the day-to-day operations.
Duties and Responsibilities:
- Greet and assist visitors and customers in a professional manner
- Answers, screens and directs phone calls appropriately. (Manage TPX system)
- Provides on-site clerical support to administration/PM/PE
- Maintains office supply levels as well as orders supplies, and business cards for employees.
- Responsible for weighing material and maintaining weigh tag filings and form ordering.
- Invoice customers for materials and certified weights along with other misc. AR billings.
- Makes travel, hotel, and RV arrangements for employees upon management request.
- Receives, organizes, and distributes all mail and packages.
- Maintain office equipment & systems and troubleshoot any malfunctions.
- Manage snow removal and handles all invoicing for it.
- Maintain Matrix of annual renewals and filings and send reminders as needed.
- Maintains Vault and Connex box organization and weekly filing as needed.
- IT coordination with outside IT managers as needed.
- Assists with organizing company functions such as meetings, retreats, conferences, etc.
- Perform other duties as assigned
Qualifications:
- High School diploma or equivalent
- Administrative assistant experience recommended
- Proficient with Microsoft software, adobe, and various computer systems
- Excellent interpersonal and communication skills
- Ability to work in a fast-paced environment
- Attention to detail
- Strong organizational and time management skills
- Excellent problem-solving and analytical skills
Physical Demands: This position requires the ability to sit or stand for extended periods of time and perform repetitive tasks. Some lifting, bending, and reaching may be required.
Work Environment: This position is primarily performed in an office setting. However, occasional travel to may be required. The work environment may include exposure to noise, dust, and other environmental factors associated with construction and mining activities. Appropriate safety equipment and training will be provided
